Start With Clean, Complete Stop Data

Dispatch problems often begin before route planning. A missing suite number, an outdated phone number, or an address entered in the wrong city can turn one simple stop into a 20-minute detour. Before assigning anything, establish one reliable source for daily delivery data.

Every stop should include the full address, recipient name, contact number, delivery notes, service time, and any hard deadline. This step is especially valuable for small teams where the dispatcher may also handle customer calls, billing, or operations. Build Routes Around Workload, Not Just Distance

The closest driver is not always the best driver for the job. A driver may be near a stop but already carrying a full load, approaching the end of a shift, or committed to a time-sensitive route. Smart dispatch balances the full workload across the team.

Look at the number of stops, estimated drive time, service time at each location, vehicle capacity, and route complexity. A route with 15 apartment deliveries may take longer than a route with 25 curbside deliveries in the same area.
